The 11 Manual Handoffs in a Typical Chapter 7 Intake

Walk through a real Ch. 7 intake step by step and count the times a staff member re-types client data. The number is higher than most firms admit.

Every bankruptcy firm has an intake process. Most firms also have a quiet awareness that their intake process is more work than it should be. This is an attempt to count the handoffs — the moments where data moves from one place to another, usually by a human typing it in again.

We ran this exercise internally when designing the bankruptcy.ai intake workflow. We picked a real Chapter 7 consumer case and traced every step from initial client contact to the first schedule populated in the petition platform. We counted 11 distinct moments where staff touched data that had already existed somewhere else.

The 11 handoffs

1. Phone intake call. Staff speak with the client, take notes in a call log or on paper.

2. Case opened in practice management. Staff type the client name, contact info, and case type from the call notes.

3. Intake questionnaire sent. Staff generate and send a PDF or link from a separate system. Sometimes this is a Word document emailed as an attachment.

4. Questionnaire returned. Client sends back a completed PDF or scanned form. Staff review it, sometimes by printing it.

5. Data entry into petition software. Staff re-type the client responses from the intake form into the petition platform field by field.

6. Bank statement request. Staff email the client asking for 90 days of statements. Sometimes a second email follows up.

7. Paystub request. Same as above, separate email. Sometimes a third email follows asking for a specific month.

8. Document receipt and filing. Staff receive attachments by email or a document portal, rename them, and move them to the correct folder.

9. Creditor matrix assembly. Staff pull a credit report, copy creditor names and addresses, and enter them into the petition platform.

10. Income verification. Staff calculate CMI from the bank statements and paystubs by hand or in a spreadsheet.

11. Pre-341 document package assembly. Staff go back through the file to find the ID, SSC, bank statements, paystubs, and tax returns and assemble them into a package for the trustee.

What bankruptcy.ai removes

The platform eliminates handoffs 3 through 11 for most cases. Client questionnaire responses populate directly into the validated export. Bank statements and paystubs are collected from source integrations with the client's authorization. The creditor matrix is pre-built. The 341 package is assembled automatically when the checklist is complete.

Handoff 2 — opening the case — still requires a staff member to enter 10 fields. Handoff 1 — the initial contact — is the attorney's job and should stay that way.
